Anonymous data collection 

You can visit Sysmex Europe and Sysmex Greece web pages without telling us who you are. We can only determine the name of your ISP, the web page from which you are visiting us, and the web pages you visit on our site. This Information will be evaluated for statistical purposes. But it means you stay anonymous as a single user. 

Collection and processing data related to individuals 

Data related to individuals will only be collected if you voluntarily provide us with this information, e.g. for a contract, a survey or when registering personalised services. In the context of personalised services by Sysmex Europe SE, we will process your registration data based on your acceptance for advertising and market research, and process them as needed for configuring electronic services. In addition, should you agree, we will collate the information collected during your visit to our Sysmex Europe SE pages and generate a user profile so we can offer tailored advertising personally to you. This information will be transferred in coded format to counteract abuse of these data by a third party. 
 
Exporting and processing data in states outside European Economic Area 

We process your personal data mainly in data centres in the European Union. If data transfers to third countries take place, we ensure appropriate guarantees for compliance with the provisions of the GDPR. 

Use and distribution of data related to individuals 

Without your acceptance data related to individuals collected in conjunction with webpages of Sysmex Europe SE or Sysmex Greece Single Member P.C will only be used for order processing and processing your inquiries. Beyond this we will only use your data for advertising and market research or for designing electronic services of Sysmex Europe SE or Sysmex Greece Single Member P.C if you gave us your acceptance for this in advance. In addition, we will only use your data for tailored personal advertising once we have received your acceptance. 

As the acceptance for using your data under the purposes mentioned above may also include transmitting your data to companies of Sysmex Corporation and to business partners of Sysmex Europe SE chosen by you, your data may be transmitted to these parties as well. There will be no other transmittance to other third parties. Your acceptance can be withdrawn at any time, of course.

Processing of data for application processes (Sysmex EMEA Job Board)

If you apply for an open position at our company via the Sysmex EMEA Job Board, Sysmex will process your personal data. Please find below details about the scope and purposes of Sysmex data processing within the framework of the application process.

Which data do we process? And for what purposes?

On the Sysmex EMEA Job Board, candidates can find information about open positions and apply online via the job application portal.  As part of the application process, you are required to provide certain personal data, such as your name and contact details.

In addition to the mandatory data, applicants can provide optional information and documents. After submitting the initial application, an applicant account is automatically created, and an acknowledgment of receipt is sent to the provided email address. Afterwards, a candidate can access their applicant account at any time and track the status of current applications, edit personal data, or deactivate the account.

Correction of data: Information provided for an ongoing application process can only be manually modified until  initial review by the responsible Sysmex employees. Subsequent modifications to  data are possible at any time within the framework of your country-specific legal rights, but require contacting the responsible recruiter (the corresponding contact details are provided in the respective job advertisement).

The personal data and documents provided during the application process are collected, processed, and used exclusively for the purposes of application management and staffing process. The provision of mandatory data is required for the proper conduct of the process; without such data, we cannot take your application into account.

What is the legal basis for this?

  • Initiation of the employment relationship: The legal basis for processing your personal data in this application process is the initiation or execution of a contractual or employment relationship based on the respectively applicable national data protection regulations (for the EU/EEA: Art. 6 para. 1 lit. b GDPR; for Germany in conjunction with Section 26 para. 1 BDSG).
  • Legal enforcement / Legitimate interest: Should the data be required for legal enforcement after completion of the application process, data processing is carried out to safeguard the legitimate interests of the hiring company on the basis of the applicable legal provisions (for the EU/EEA: Art. 6 para. 1 lit. f GDPR for the assertion of or defence against claims; in Germany, e.g., according to the General Act on Equal Treatment – AGG).
  • Processing of special categories of personal data: Insofar as applicants voluntarily provide information that falls under special categories of personal data (such as a severe disability status or equal opportunities status), this data will be processed exclusively for the exercise of rights and fulfilment of obligations under labour law and social security law. This is based on the respective country-specific regulations of the hiring Sysmex company (for the EU/EEA: Art. 9 para. 2 lit. b GDPR; for Germany supplemented by Section 26 para. 3 BDSG in conjunction with Art. 88 GDPR).
  • Consent (Talent Pool): Should you agree to be included in the talent pool, storage is based on your voluntary consent in accordance with the applicable national data protection laws (for the EU/EEA: Art. 6 para. 1 lit. a GDPR).

Control according to selection options (Talent Pool vs. Individual Application)

In the application form, the following options are made available to each applicant upon initial application:

  • Option 1 – Consent to Talent Pool (Global Visibility): "I consent to the use of my personal data for this application and additionally agree to be included in the Sysmex talent pool. This allows recruiters to contact me with further suitable career opportunities. My data may be stored for six months from my last profile update." With this option, you consent to being considered for future job advertisements. In this case, your data can be viewed by the Sysmex employees responsible for the staffing processes and used for suitable vacancies. With this option, you consent to the general data retention of 6 months.
  • Option 2 – Exclusive data processing for the current application: "I consent to the use of my personal data exclusively for active applications submitted by me (no talent pool inclusion)." The personal data can only be viewed by those employees who are directly involved in the selection and staffing process for this specific position. After completion of the staffing process, candidates can no longer be found via the general applicant search. The regular, statutory deletion periods of the respective country apply to this data.

The selection of the respective option can be adjusted by the candidate at any time in the online candidate profile. The change in visibility takes effect immediately.

Working with external recruitment service providers

If candidates are submitted as applicants via a recruitment agency, a candidate profile is automatically created for the applicant by transmitting the personal data through the agency portal. Agencies are authorized by an existing contract to transmit personal data to Sysmex for application purposes on behalf of the candidates.

Responsibility (Controller-to-Controller): For this transmission, the external agency and Sysmex act as separate, independent data controllers under data protection law. The agencies recruit and select candidates independently according to their own processes and purposes. As soon as the data is received through the agency portal and transmitted to Sysmex, Sysmex processes this data as an independent responsible party strictly in accordance with the applicable country-specific data protection requirements for the further application process.

Deletion of the applicant account / application documents

An existing applicant account can be deleted independently by the candidate at any time, or the candidate can request Sysmex to delete it. In order to optimally reflect the requirements of the GDPR and country-specific labour laws, the central applicant management system controls data deletion and anonymization via separate, automated processes.

Your rights as a "data subject" 

You have the right to receive information regarding data processed by us in respect of you. 
We hope you will understand that, each time you request information from us, we may request evidence from you to support the fact that you are the person you claim to be. 
To the extent provided for by law, you have a right to have your personal data rectified, erased or processed in a limited manner. 
You have a right to object to the processing of your personal data to the extent permitted by law. You also have a right to data portability. 
In particular, you have a right to object (as specified under Art. 21 paragraphs 1 and 2 GDPR) to the direct-marketing-related processing of your personal data where this is carried out on the basis of the balancing of legitimate interests.
